Platform policy — organisation references

This policy explains how Earthian AI (“Earthian”, “we”, “us”) may identify and reference the organisation you work for—or that you represent—when you access our website, platform, trials, waitlists, research reports, or other services. It applies alongside our privacy notice and any agreement between your organisation and Earthian.

Example (illustrative only)

If you register or sign in with a corporate email address such as [email protected], Earthian may state in marketing or sales materials that Microsoft employees are among our users, or that organisations such as Microsoft use Earthian—provided we do not imply Microsoft’s endorsement, partnership, or approval unless separately agreed in writing. We would not publish your individual name, job title, or usage details without your consent unless required by law.

1. Scope

This policy applies when you or your organisation interact with Earthian services, including account registration, product access, demos, waitlists, newsletters, API keys, and support channels. It governs how we may reference your organisation—not how you may use Earthian data products (see separate data policies for licensed datasets).

2. What we may identify

We may determine your organisation from information you provide or that is reasonably inferable from your use of our services, including: • corporate or institutional email domains (for example @company.com); • organisation name on registration, billing, or licence records; • publicly known affiliations you supply; and • aggregated or de-identified usage statistics that do not single out an individual. We treat the organisation name (or a commonly recognised trade name derived from the domain) as the reference point—not your personal identity.

3. Permitted references

Subject to Section 4, Earthian may use your organisation’s name, logo (where we have lawful rights to do so), or a factual description of your relationship with us in: • our website, product pages, and customer lists; • sales, investor, and conference materials; • press releases and social media; and • aggregated statements (for example “employees of [Organisation] among our users” or “used by teams at [Organisation]”). References must be accurate, limited to the fact of use or evaluation unless a case study is separately approved, and must not misstate the nature or scope of the relationship.

4. Limits — no endorsement; no individual disclosure

Unless your organisation has given prior written consent (for example a logo licence, press release, or case study agreement), Earthian must not: • imply sponsorship, endorsement, partnership, or investment by your organisation; • disclose confidential configuration, volumes, pricing, or non-public use cases; • publish an identifiable individual’s name, photograph, job title, or direct quote; or • reference an organisation where doing so would mislead a reasonable reader about Earthian’s regulatory status, certifications, or client outcomes. If your organisation is subject to publicity restrictions (for example certain financial institutions or government bodies), you are responsible for notifying us at [email protected] before or promptly after access so we can apply appropriate controls.

5. Opt-out and corrections

An authorised representative of your organisation may request that Earthian stop new public references to that organisation, or correct inaccurate statements, by emailing [email protected] with sufficient detail to identify the organisation. We will honour verified opt-out requests within a reasonable period and will not reintroduce the organisation in new marketing without fresh consent. Opt-out does not require deletion of historical materials where retention is required for legal, audit, or archival purposes, but we will not prominently republish outdated references after opt-out.

6. Conflicts; updates

This page is a summary for convenience. If your organisation has a master services agreement, enterprise order form, non-disclosure agreement, or data-processing addendum that restricts publicity, those written terms control to the extent of any conflict. Earthian may update this policy from time to time; the version posted on this page applies to new references after the update date unless your agreement states otherwise.
